Do you support eligibility requirements?
Yes, Clovi supports client-wide eligibility requirements through the Program-level eligibility file system.
Important distinction: An "eligibility file" for a Program is different from an "eligibility file" for an Event. Make sure you're using the right one for your use case.
Program-level eligibility file
When you upload an eligibility file to a Program:
- Participants are scoped to the program but not automatically added to events
- You can define an eligibility requirement field (e.g.,
employee_id) — participants must enter the correct value plus their date of birth before registering - You can limit event lookup to the eligibility file, restricting which participants screeners can search for
Event-level eligibility file
When you upload an eligibility file to an Event:
- Those participants are automatically imported and marked as registered
- Eligibility requirements are not enforced at the event level
How to upload an eligibility file to a program
- Click on a Program
- Click Data Import
- Click "Upload Eligibility file" and follow the on-screen instructions
Note: Once you upload an eligibility file, subsequent uploads will not overwrite existing participant attributes. Make sure the data is correct the first time.
When to use Program vs. Event eligibility
Use a Program-level eligibility file when you need to restrict who can register for events and enforce identity verification (e.g., employee ID + date of birth).
Use an Event-level eligibility file when you want to pre-register a list of participants for a specific event without requiring them to go through the registration flow.
